Effect of Business Telephone Etiquette Training on Students’ Professional Communication Skills in Accounting Education in Nigeria

Abstract

Professional communication skills are essential competencies for Accounting Education students because accounting professionals frequently communicate with clients, customers, colleagues, supervisors, suppliers, employers, and other stakeholders through telephone conversations. Effective business telephone communication requires appropriate greetings, active listening, clear speech, accurate information exchange, professional tone, patience, courtesy, questioning, message taking, call transfer, call documentation, and appropriate handling of difficult conversations. However, Accounting Education students in Nigeria may have limited opportunities to practise professional telephone communication in realistic accounting and business situations during their academic training. Business Telephone Etiquette Training provides students with structured opportunities to develop appropriate telephone communication behaviours and apply professional communication principles to realistic workplace situations. Against this background, this study investigates the effect of Business Telephone Etiquette Training on professional communication skills in Accounting Education in Nigeria. The study will be anchored on Experiential Learning Theory, Social Cognitive Theory, and Communication Accommodation Theory. Experiential Learning Theory explains how students develop communication competencies through practical experiences, reflection, feedback, and active experimentation. Social Cognitive Theory emphasizes learning through observation, modelling, guided practice, reinforcement, and self-efficacy. Communication Accommodation Theory explains how speakers may adjust their communication style, tone, pace, vocabulary, and interaction patterns to facilitate effective communication with different individuals and social groups. Collectively, these theories provide a suitable framework for explaining how Business Telephone Etiquette Training may influence students’ professional communication skills. The study will adopt a quantitative quasi-experimental research design. The population will comprise Accounting Education students enrolled in selected Nigerian universities and polytechnics. A multistage sampling technique will be used to select institutions, departments, levels of study, classes, and eligible students. Data will be collected using structured questionnaires, professional communication skills assessment scales, telephone communication performance rubrics, simulated telephone-call tasks, role-play scenarios, observation checklists, message-taking exercises, call-handling assessments, and pre-test and post-test assessments. Business Telephone Etiquette Training will be assessed using indicators such as professional telephone greetings, self-introduction, organization identification, caller identification, purpose clarification, active listening, attentive listening, questioning techniques, information gathering, information verification, clear speech, appropriate pronunciation, appropriate vocabulary, professional tone, appropriate voice volume, suitable speaking pace, courteous language, respectful language, empathy, patience, emotional control, appropriate pauses, turn-taking, conversational control, call opening, call management, call closing, call transfer, call holding, call forwarding, message taking, message recording, message confirmation, message delivery, callback arrangements, appointment scheduling, appointment confirmation, appointment cancellation, appointment rescheduling, customer enquiry handling, client enquiry handling, supplier communication, employer communication, colleague communication, supervisor communication, complaint handling, difficult-caller management, conflict communication, financial-information communication, accounting-information communication, invoice enquiries, payment enquiries, billing enquiries, receipt enquiries, account enquiries, transaction enquiries, audit enquiries, taxation enquiries, banking enquiries, procurement enquiries, payroll enquiries, confidential-information handling, customer verification, identity verification, information security, telephone documentation, call logs, call records, follow-up calls, reminder calls, escalation procedures, referral procedures, professional etiquette, workplace courtesy, role-play activities, guided telephone practice, individual simulations, group simulations, repeated call-handling exercises, peer assessment, lecturer assessment, self-assessment, feedback activities, reflective practice, and progressively challenging telephone communication scenarios. Students’ professional communication skills will be assessed using indicators such as ability to initiate telephone conversations professionally, greet callers appropriately, introduce themselves, identify their organization or department, identify callers, establish the purpose of calls, listen attentively, ask relevant questions, clarify information, verify information, speak clearly, pronounce words appropriately, use suitable vocabulary, maintain professional tone, regulate voice volume, maintain appropriate speaking pace, use courteous expressions, communicate respectfully, demonstrate empathy, demonstrate patience, manage emotions, use appropriate pauses, observe turn-taking, control conversations professionally, open calls appropriately, manage calls effectively, close calls professionally, transfer calls correctly, place callers on hold appropriately, forward calls correctly, take accurate messages, record messages completely, confirm message details, deliver messages accurately, arrange callbacks, schedule appointments, confirm appointments, cancel appointments, reschedule appointments, respond to customer enquiries, respond to client enquiries, communicate with suppliers, communicate with employers, communicate with colleagues, communicate with supervisors, handle complaints, manage difficult callers, communicate during conflicts, explain financial information, explain accounting information, respond to invoice enquiries, respond to payment enquiries, respond to billing enquiries, respond to receipt enquiries, respond to account enquiries, respond to transaction enquiries, respond to audit enquiries, respond to taxation enquiries, respond to banking enquiries, respond to procurement enquiries, respond to payroll enquiries, protect confidential information, verify customer identity, protect financial information, maintain information security, document telephone conversations, maintain call logs, maintain call records, conduct follow-up calls, make reminder calls, escalate complex matters, refer callers appropriately, observe professional etiquette, demonstrate workplace courtesy, demonstrate effective listening, demonstrate verbal clarity, demonstrate interpersonal competence, demonstrate responsiveness, demonstrate confidence, demonstrate adaptability, demonstrate professionalism, and overall professional communication competence. Descriptive statistics will be used to summarize students’ demographic and academic characteristics, exposure to Business Telephone Etiquette Training, telephone communication experiences, and professional communication skill levels. Inferential statistical techniques, including paired and independent t-tests, analysis of covariance (ANCOVA), correlation analysis, and multiple regression analysis where appropriate, will be used to determine the effect of Business Telephone Etiquette Training on students’ professional communication skills. Where a quasi-experimental design is adopted, professional communication scores before and after participation in the training may be compared with those of a control group receiving conventional classroom instruction to determine changes associated with the intervention. Diagnostic tests will also be conducted to assess the reliability, validity, and robustness of the findings. The study is expected to find that Business Telephone Etiquette Training has a significant positive effect on students’ professional communication skills in Accounting Education in Nigeria. Students exposed to structured telephone-etiquette training are expected to demonstrate improved ability to communicate clearly, courteously, confidently, and professionally during telephone interactions. Telephone-greeting exercises may improve students’ ability to initiate calls appropriately and create positive first impressions. Self-introduction and organization-identification activities may strengthen students’ ability to establish professional identity. Caller-identification exercises may improve students’ ability to obtain relevant information before addressing enquiries. Purpose-clarification activities may strengthen students’ ability to understand the reason for calls. Active-listening exercises may improve students’ ability to understand customer and client concerns accurately. Questioning activities may strengthen information-gathering skills. Information-verification activities may reduce errors in communicating financial and accounting information. Clear-speech exercises may improve students’ verbal clarity and comprehensibility. Pronunciation activities may strengthen students’ ability to communicate business terminology accurately. Professional-vocabulary exercises may improve appropriate workplace language. Tone-management activities may strengthen students’ ability to maintain respectful and professional communication. Voice-volume exercises may improve clarity without appearing aggressive or inappropriate. Speaking-pace exercises may help students communicate information at an understandable rate. Courtesy and respectful-language exercises may strengthen students’ professional interpersonal behaviour. Empathy and patience activities may improve students’ ability to respond appropriately to customer and client concerns. Emotional-control exercises may help students remain calm during difficult interactions. Turn-taking and conversational-control activities may strengthen students’ ability to manage telephone conversations effectively. Call-opening and call-closing exercises may improve students’ ability to structure professional telephone interactions. Call-transfer and call-holding exercises may strengthen students’ understanding of appropriate telephone procedures. Message-taking activities may improve students’ ability to record names, contact information, reasons for calls, dates, times, and other relevant details accurately. Message-confirmation exercises may reduce communication errors. Callback arrangements may strengthen students’ ability to maintain continuity of service. Appointment-scheduling activities may improve students’ ability to coordinate meetings and other business activities. Customer and client enquiry simulations may strengthen students’ ability to respond appropriately to routine questions. Supplier, employer, colleague, and supervisor communication exercises may improve students’ ability to communicate with different workplace stakeholders. Complaint-handling activities may strengthen students’ ability to respond professionally to dissatisfied callers. Difficult-caller scenarios may improve students’ emotional control, patience, and conflict-management skills. Financial-information communication exercises may strengthen students’ ability to explain accounting information clearly. Invoice, payment, billing, receipt, account, transaction, audit, taxation, banking, procurement, and payroll enquiry simulations may provide students with practical exposure to common accounting-related telephone interactions. Confidentiality activities may strengthen students’ ability to protect sensitive financial and customer information. Customer and identity-verification exercises may improve students’ awareness of information-security requirements. Telephone-documentation activities may strengthen students’ ability to maintain accurate call logs and records. Follow-up and reminder calls may improve students’ responsiveness and service continuity. Escalation and referral exercises may help students recognize matters requiring supervisory or specialized attention. Role-play activities may provide opportunities to practise professional telephone communication in realistic workplace situations. Repeated telephone practice may improve students’ confidence, fluency, accuracy, and independence. Peer assessment may expose students to alternative communication approaches, while lecturer feedback may help students correct weaknesses. Self-assessment and reflective activities may encourage students to evaluate their communication performance and identify areas for improvement. Progressively challenging scenarios may prepare students for complex workplace interactions. However, the effectiveness of Business Telephone Etiquette Training may be constrained by inadequate telephone-training facilities, limited access to communication equipment, poor internet connectivity, unreliable electricity supply, large class sizes, limited practical training periods, inadequate lecturer training, insufficient exposure to authentic workplace calls, outdated instructional materials, limited feedback, weak digital-communication infrastructure, low student participation, and inadequate integration of professional communication training into Accounting Education curricula. The study therefore expects practical, structured, realistic, feedback-oriented, learner-centred, and adequately supervised Business Telephone Etiquette Training to contribute significantly to improved professional communication skills among Accounting Education students in Nigeria. The study is expected to contribute to the literature on Business Telephone Etiquette Training, professional communication skills, Experiential Learning Theory, Social Cognitive Theory, Communication Accommodation Theory, accounting education, business communication, professional communication, telephone communication, workplace communication, customer service, client relations, verbal communication, active listening, professional etiquette, communication tone, communication clarity, message taking, call management, complaint handling, conflict communication, financial communication, accounting communication, customer enquiries, client enquiries, digital communication, information security, confidentiality, workplace readiness, employability skills, professional competence, Accounting Education students, Nigerian universities, Nigerian polytechnics, and Accounting Education in Nigeria. The findings will provide useful information to the National Universities Commission, National Board for Technical Education, universities, polytechnics, Accounting Education departments, accounting educators, communication-skills lecturers, curriculum developers, professional accounting bodies, employers, industry partners, and policymakers regarding strategies for strengthening students’ professional telephone and verbal communication competencies. The study will also provide evidence-based recommendations for integrating Business Telephone Etiquette Training into Accounting Education programmes, developing realistic accounting-related telephone scenarios, strengthening active-listening and verbal-communication activities, incorporating complaint and difficult-caller simulations, improving students’ ability to communicate financial information by telephone, strengthening telephone documentation and confidentiality practices, providing repeated role-play and feedback, incorporating digital and technology-supported communication activities, expanding university-industry collaboration, and aligning Accounting Education programmes with contemporary professional communication requirements in Nigeria.
