Effect of Business Transaction Documentation Exercises on Students’ Accounting Recording Accuracy among HND Students in Nigerian Polytechnics

Abstract

Accurate accounting records are essential for effective financial management, accountability, decision-making, and reporting in business organizations. Accounting personnel are required to properly document business transactions before recording them in journals, ledgers, cash books, and other accounting records. However, HND students in Nigerian polytechnics may experience difficulties in translating business transaction information into accurate accounting records because of limited exposure to practical documentation activities. Business Transaction Documentation Exercises provide students with opportunities to work with realistic business transactions, source documents, supporting records, and simulated accounting-office situations while applying appropriate documentation and recording procedures. Such practical activities may strengthen students’ ability to identify, interpret, document, classify, and accurately record business transactions. Against this background, this study investigates the effect of Business Transaction Documentation Exercises on accounting recording accuracy among HND students in Nigerian polytechnics. The study will be anchored on Experiential Learning Theory, Social Cognitive Theory, and Human Capital Theory. Experiential Learning Theory explains how students develop practical accounting competencies through concrete experience, reflection, conceptualization, and active experimentation. Social Cognitive Theory emphasizes learning through observation, modelling, guided practice, feedback, and self-efficacy. Human Capital Theory explains how investment in relevant accounting knowledge and practical skills enhances students’ productivity, employability, and preparedness for workplace responsibilities. Collectively, these theoretical perspectives provide a suitable framework for explaining how Business Transaction Documentation Exercises may influence accounting recording accuracy among HND students. The study will adopt a quantitative quasi-experimental research design. The population will comprise HND students enrolled in Accounting Education programmes in selected Nigerian polytechnics. A multistage sampling technique will be used to select states, polytechnics, departments, levels of study, classes, and eligible students. Data will be collected using structured questionnaires, business transaction documentation tasks, accounting recording accuracy assessment instruments, practical performance rubrics, observation checklists, source-document exercises, simulated business records, and pre-test and post-test assessments. Business Transaction Documentation Exercises will be assessed using indicators such as identification of business transactions, source-document identification, transaction-date documentation, transaction-description documentation, amount recording, transaction-reference coding, document numbering, invoice preparation, receipt preparation, payment-voucher preparation, cash-sale documentation, credit-sale documentation, cash-purchase documentation, credit-purchase documentation, bank-transaction documentation, cheque documentation, electronic-payment documentation, deposit documentation, withdrawal documentation, expense documentation, income documentation, asset-acquisition documentation, liability documentation, capital documentation, owner-drawing documentation, supporting-document verification, transaction authorization, signature verification, document completeness, document accuracy, transaction classification, account identification, debit-and-credit identification, journal-entry preparation, ledger-posting preparation, cash-book preparation, bank-book preparation, sales-book preparation, purchases-book preparation, returns documentation, petty-cash documentation, payroll documentation, inventory documentation, document filing, document indexing, document retrieval, transaction matching, transaction verification, error identification, error correction, duplicate-document detection, missing-document detection, unauthorized-transaction detection, incorrect-amount identification, incorrect-date identification, incorrect-account identification, incorrect-document identification, fraud-awareness activities, internal-control procedures, audit-trail maintenance, accounting-software activities, spreadsheet activities, digital documentation, electronic record keeping, practical demonstrations, guided exercises, individual assignments, group activities, case studies, role-play activities, repeated practice, peer assessment, lecturer assessment, self-assessment, feedback activities, and progressively challenging business transaction scenarios. Students’ accounting recording accuracy will be assessed using indicators such as ability to identify business transactions correctly, recognize appropriate source documents, document transaction dates accurately, provide appropriate transaction descriptions, record transaction amounts correctly, assign transaction references, number documents correctly, prepare invoices, prepare receipts, prepare payment vouchers, document cash sales, document credit sales, document cash purchases, document credit purchases, document bank transactions, prepare cheque documentation, document electronic payments, document deposits and withdrawals, document expenses and income, document asset acquisitions, document liabilities, document capital contributions, document owner drawings, verify supporting documents, obtain appropriate authorization, verify signatures, ensure document completeness, maintain document accuracy, classify transactions appropriately, identify relevant accounts, distinguish debit and credit implications, prepare journal entries, post transactions to ledgers, prepare cash books, prepare bank books, prepare sales books, prepare purchases books, document returns, document petty-cash transactions, document payroll transactions, document inventory transactions, file accounting documents systematically, index records, retrieve documents, match transactions with supporting evidence, verify transaction information, identify recording errors, correct errors, detect duplicate documents, identify missing documents, detect unauthorized transactions, identify incorrect amounts, dates, accounts, and documents, recognize potential fraudulent transactions, apply internal controls, maintain audit trails, use accounting software, use spreadsheets, maintain digital accounting records, prepare electronic documents, and demonstrate overall accounting recording accuracy. Descriptive statistics will be used to summarize students’ demographic and academic characteristics, exposure to Business Transaction Documentation Exercises, practical experiences, and accounting recording accuracy. Inferential statistical techniques, including paired and independent t-tests, analysis of covariance (ANCOVA), correlation analysis, and multiple regression analysis where appropriate, will be used to determine the effect of Business Transaction Documentation Exercises on students’ accounting recording accuracy. Where a quasi-experimental design is adopted, accounting recording accuracy scores before and after participation in the exercises may be compared with those of a control group receiving conventional classroom instruction to determine changes associated with the intervention. Diagnostic tests will also be conducted to assess the reliability, validity, and robustness of the findings. The study is expected to find that Business Transaction Documentation Exercises have a significant positive effect on accounting recording accuracy among HND students in Nigerian polytechnics. Students exposed to structured business transaction documentation exercises are expected to demonstrate improved ability to identify, document, classify, record, verify, and correct business transactions. Transaction-identification activities may improve students’ ability to recognize accounting events that require recording. Source-document identification may strengthen students’ understanding of the relationship between business transactions and accounting evidence. Date and transaction-description exercises may improve the completeness and clarity of accounting documentation. Amount-recording activities may strengthen numerical accuracy. Transaction-reference and document-numbering exercises may improve systematic record keeping. Invoice, receipt, and payment-voucher preparation may strengthen students’ ability to produce appropriate source documents. Cash-sale and credit-sale documentation may improve students’ ability to distinguish different sales transactions. Cash-purchase and credit-purchase exercises may strengthen students’ understanding of purchase documentation. Bank-transaction exercises may improve students’ ability to document deposits, withdrawals, transfers, and other banking activities. Cheque and electronic-payment documentation may strengthen students’ ability to recognize modern payment records. Expense- and income-documentation activities may improve students’ ability to distinguish different categories of business transactions. Asset-acquisition and liability-documentation exercises may strengthen students’ understanding of transactions involving organizational resources and obligations. Capital and owner-drawing documentation may improve students’ ability to recognize transactions affecting owners’ equity. Supporting-document verification may strengthen students’ ability to confirm the reliability of transaction information. Authorization and signature-verification activities may improve students’ understanding of transaction controls. Document-completeness exercises may reduce omissions in accounting records. Transaction-classification activities may strengthen students’ ability to assign transactions to appropriate accounts. Account-identification activities may improve students’ understanding of the accounts affected by business transactions. Debit-and-credit exercises may strengthen students’ ability to translate documented transactions into appropriate accounting entries. Journal-entry preparation may improve students’ accuracy in recording transactions in journals. Ledger-posting exercises may strengthen students’ ability to transfer transaction information accurately into ledger accounts. Cash-book and bank-book activities may improve students’ ability to record cash and banking transactions. Sales-book and purchases-book exercises may strengthen students’ ability to maintain subsidiary accounting records. Returns documentation may improve students’ ability to record sales returns and purchases returns correctly. Petty-cash documentation may strengthen students’ ability to record small-value transactions. Payroll documentation may improve students’ ability to document employee-related payments. Inventory documentation may strengthen students’ ability to maintain records relating to goods and stock movements. Document-filing activities may improve students’ ability to organize accounting records systematically. Indexing and retrieval exercises may strengthen records-management competence. Repeated practice may improve accuracy, speed, confidence, and independence. Peer assessment may expose students to alternative approaches to transaction documentation. Lecturer assessment and feedback may help students identify and correct recording errors. Self-assessment may encourage students to evaluate their own documentation and recording performance. Reflective practice may help students learn from documentation mistakes. Progressively challenging scenarios may prepare students for increasingly complex business transaction-recording responsibilities. However, the effectiveness of Business Transaction Documentation Exercises may be constrained by inadequate accounting laboratories, limited access to authentic business documents, insufficient computers, unreliable electricity supply, poor internet connectivity, large class sizes, limited practical training periods, inadequate lecturer supervision, outdated instructional materials, limited access to accounting software, insufficient realistic transaction scenarios, inadequate feedback, low student participation, weak industry collaboration, and inadequate integration of practical documentation activities into Accounting Education curricula. The study therefore expects realistic, structured, hands-on, technology-supported, workplace-oriented, and adequately supervised Business Transaction Documentation Exercises to contribute significantly to improved accounting recording accuracy among HND students in Nigerian polytechnics. The study is expected to contribute to the literature on Business Transaction Documentation Exercises, accounting recording accuracy, Experiential Learning Theory, Social Cognitive Theory, Human Capital Theory, accounting education, practical accounting education, business transactions, source documents, invoices, receipts, payment vouchers, transaction documentation, transaction classification, journal entries, ledger posting, cash books, bank books, sales books, purchases books, returns documentation, petty cash, payroll documentation, inventory records, transaction verification, error detection, error correction, internal controls, audit trails, accounting software, spreadsheet skills, digital accounting records, workplace readiness, employability skills, professional competence, HND students, Nigerian polytechnics, and Accounting Education in Nigeria. The findings will provide useful information to the National Board for Technical Education, polytechnic administrators, Accounting Education departments, accounting educators, curriculum developers, professional accounting bodies, employers, industry partners, and policymakers regarding strategies for strengthening students’ practical transaction-documentation and accounting-recording competencies. The study will also provide evidence-based recommendations for integrating Business Transaction Documentation Exercises into Accounting Education programmes, establishing realistic transaction-documentation simulation environments, providing authentic business source documents, strengthening students’ transaction classification and recording skills, incorporating verification and error-correction activities, improving digital documentation competencies, providing repeated practical exercises and structured feedback, expanding collaboration between polytechnics and accounting workplaces, and aligning Accounting Education programmes with contemporary business transaction documentation and accounting-recording requirements in Nigeria.
